How to compress a PDF to 100KB or 200KB for online forms
Last updated: 18 October 2026
Government portals, exam boards, banks and job sites often refuse any file above a strict limit — typically 100KB or 200KB for certificates, ID copies and mark sheets. This guide shows how to hit that limit reliably without making the document unreadable.

Portals that receive thousands of applications a day keep storage and bandwidth costs down by capping each file. A phone scan of one A4 page is often 1–4 MB, which is ten to forty times larger than a 100KB limit. Most of that size is image data, so the trick is to reduce the image quality just enough while keeping text sharp.
Step by step
- Open Compress PDF to KB.
- Select the PDF the portal rejected.
- Pick the preset that matches the form: 100 KB (most job portals), 200 KB (exam and visa forms), 500 KB or 1 MB. If the form states another number, choose Custom and type it.
- Click Compress to target size. The result comes out at or just under your limit.
- Download the file and open it. Zoom in on small print, stamps and signatures before you upload it.
Set the target slightly below the limit
Websites don't all count kilobytes the same way. Some treat 1KB as 1,000 bytes and others as 1,024 bytes, and a few round up. If the limit is 200KB, aim for about 190KB; for 100KB, aim for about 95KB. That small margin avoids the frustrating “file too large” message when your file looks fine on your computer.
What to do if the result is hard to read
A very small target spread across many pages leaves little data for each page. Before compressing again, reduce what you are sending:
- Remove unnecessary pages. Blank backs of scanned pages, cover sheets and instruction pages add size. Use Delete Pages first.
- Send only the page they asked for. If the form wants your degree certificate, don't upload the whole transcript bundle. Extract Pages saves just the page you need.
- Rescan in black and white. Text documents compress far better without colour. Scan to PDF has a Black & white effect made for this.
- Crop away borders. Dark edges and table surfaces around a phone photo waste space. Trim them with Crop PDF.
Typical targets and what fits
As a rough guide, a single-page certificate or ID copy fits comfortably into 100KB with clear text. Two or three pages usually fit into 200KB. Ten or more scanned pages under 200KB will normally look soft, so split them into separate uploads if the portal allows it.
Photos and signatures are different
If the form asks for a passport photo or a signature as an image (JPG), don't convert it to PDF. Use Resize Image to KB instead, which can also set exact pixel dimensions.
Common questions
Can any PDF be made 100KB? A short document almost always can. A long, photo-heavy document may become unreadable at that size; reduce the page count first.
Is it safe to compress ID documents online? On PDFmoor the file is processed inside your browser and is never uploaded, so your documents stay on your device.
Why is my compressed file still rejected? Check the portal's other rules: some also require a specific file name, PDF version or page count.
Your file never leaves your device.
