How to resize a photo and signature for online application forms
Last updated: 18 October 2026
Online application forms are strict about images: a photo between 20KB and 50KB, a signature under 20KB, or exact dimensions such as 200 × 230 pixels. Getting it wrong is one of the most common reasons applications are rejected. Here is how to get it right the first time.
Ready? Open the free Resize Image to KB tool.
Open Resize Image to KBRead the requirements carefully
Before you touch any tool, write down exactly what the form asks for. Most instructions include some of these:
- Maximum size — for example “not more than 50KB”.
- Minimum size — for example “between 10KB and 50KB”. Many people miss this and upload a file that is too small.
- Dimensions — width and height in pixels, such as 3.5 × 4.5 cm or 200 × 230 px.
- Format — usually JPG or JPEG.
- Background — often plain white or light for photos.
Step by step
- Open Resize Image to KB.
- Upload your photo or signature (JPG, PNG, WebP or BMP).
- Choose a maximum size: 20 KB for signatures, 50 KB for exam photos, 100 KB for most forms, 200 KB for documents, or Custom.
- If the form gives a range, also enter the minimum size so the file doesn't come out too small.
- If the form specifies pixel dimensions, type the width and height. Leave them empty to keep the original shape.
- Download the image and check it before uploading.
Taking a good signature image
Sign with a black or dark blue pen on plain white paper. Photograph it in daylight, straight from above, so there are no shadows. Crop tightly around the signature — extra white space makes the image larger without adding anything useful. A clean signature easily fits under 20KB while staying crisp.
Taking a good photo
Stand in front of a plain, light wall, face the camera directly and use even light from in front of you. Crop to your head and shoulders. The smaller the area in the frame, the sharper your face will be at small file sizes. Avoid filters and heavy beauty modes; many authorities reject edited photos.
Converting from centimetres to pixels
Some forms give dimensions in centimetres. At the common 300 DPI setting, 1 cm is about 118 pixels, so a 3.5 × 4.5 cm photo is roughly 413 × 531 pixels. If the form also states pixels, always use the pixel values it gives.
iPhone photos
iPhones save photos as HEIC by default, which most forms don't accept. Convert them with HEIC to JPG first, then resize.
Common questions
The form says my photo is too small — why? Some forms require a minimum size. Set the minimum KB in the tool so the file stays above it.
Will my photo look blurry? At 20–50KB a tightly cropped head-and-shoulders photo still looks clear. Blurriness usually comes from leaving too much background in the frame.
Are my photos uploaded? No. Resizing happens in your browser, so personal photos never leave your device.
