How to fill in a PDF form without printing it
Last updated: 18 October 2026
Printing a form, filling it in by hand and scanning it back takes time and usually gives a messy result. Whether your PDF has fillable fields or is just a flat page, you can complete it on screen in a few minutes.
Ready? Open the free Fill PDF Forms tool.
Open Fill PDF FormsFirst: is the form fillable?
A fillable PDF contains interactive fields — boxes you can click and type into, checkboxes and dropdown lists. Many official forms are made this way. Other PDFs are just pictures of a printed form with lines to write on. The method differs, so check first: open the form in Fill PDF Forms. If fields are detected, it's fillable.
Filling a fillable form
- Open Fill PDF Forms and select the PDF.
- Complete the detected fields.
- Decide on Flatten form after filling. On (the safe choice for a final copy) turns your answers into permanent page content so they display correctly everywhere. Off keeps the form editable.
- Click Save filled PDF, then Download PDF.
Filling a non-fillable form
- Open Edit PDF and select the form.
- Click + Add text, then click where the answer belongs and type.
- Drag each text box onto the right line. Move between pages and repeat.
- Save and download.
To tick a box or circle an option, use the Box, Circle or Pen tools in Annotate PDF.
Adding your signature
When the form is complete, open it in Sign PDF. Draw your signature with a finger or mouse, or type your name, then drag it onto the signature line. It defaults to the last page, where signatures usually go.
Why flattening matters
Some PDF viewers — especially on phones and in web email — don't display form fields properly, so the recipient may see empty boxes even though you filled them in. Flattening writes your answers onto the page so everyone sees exactly what you entered. It also stops answers being changed accidentally. Keep an unflattened copy if you might need to edit it later; you can also flatten any time with Flatten PDF.
Before you send
- Open the final PDF on a different device to check every answer shows.
- If the form contains personal data, consider Protect PDF and send the password separately.
- If a portal has a size limit, use Compress PDF to KB.
